Grafana Labs is looking for a Senior Executive Assistant to support the SVP of Global Customer Solutions.

This role goes beyond traditional executive support. You’ll be a strategic partner who helps organize priorities, keep important projects moving, and create systems that allow leadership teams to work more effectively.

You’ll combine executive assistance, project coordination, and process improvement skills. The ideal person is highly organized, proactive, comfortable working with senior leaders, and enjoys bringing structure to fast-moving environments.

What You Will Be Doing

• Executive Support
  Manage and prioritize the SVP’s calendar, ensuring meetings are organized and aligned with key priorities.
  Coordinate domestic and international travel arrangements, including itineraries and logistics.
  Help organize communications, emails, and follow-ups when needed.
  Manage expense reporting and administrative processes.
  Handle confidential information with professionalism and discretion.
  Attend meetings, capture important decisions, and track follow-up actions.
  Coordinate leadership meetings, team events, off-sites, and customer meetings.
  Support planning and logistics for executive events and company initiatives.
  Collaborate with other Executive Assistants across the company to improve processes and coordination.
• Project & Program Coordination
  Track important projects and initiatives across the Global Customer Solutions organization.
  Maintain project trackers so leadership has clear visibility into priorities, progress, and blockers.
  Follow up with teams to ensure deadlines and commitments stay on track.
  Help create processes that improve team organization and efficiency.
  Prepare materials for leadership meetings, business reviews, and executive presentations.
  Support quarterly planning cycles and company-wide initiatives.
  Identify areas where workflows can be improved and suggest practical solutions.
  Coordinate between leadership and teams including Sales, Marketing, Finance, Product, and People Operations.
• AI & Automation
  Identify repetitive tasks that can be improved using AI tools and automation.
  Build simple workflows that reduce manual work, such as meeting summaries, reporting, and updates.
  Stay up to date with productivity tools and help the team work more efficiently.
  Experience with tools like ChatGPT, Claude, Notion AI, Zapier, or similar platforms is a plus.

• Confidence handling sensitive and confidential information.
• A proactive mindset and the ability to work independently without constant supervision.
• Interest in using AI and automation tools to improve how work gets done.
• Strong knowledge of Google Workspace (Docs, Sheets, Slides, Calendar).
• Preferred: Bachelor’s degree or project management certification (such as PMP).

Notes

• Salary range: $127,000 – $153,000 USD/year (depending on experience and location)
