This is a hands-on execution role, not a traditional assistant position – you’ll actively manage workflows, support campaigns, and ensure marketing operations run smoothly in a fast-paced, detail-critical environment.

What You’ll Do

• Inbox & Communication Management
  Manage inbox, draft responses, and prioritize urgent communication
  Coordinate across teams and stakeholders
• Marketing Support
  Assist with email campaigns, landing pages, social, and paid ads
  Handle proofreading, QA, and scheduling
• Content & Project Coordination
  Maintain content calendars and asset libraries
  Coordinate with designers, writers, and external partners
• CRM & Marketing Operations
  Work with Salesforce and HubSpot
  Build lists, manage workflows, and maintain data accuracy
  Quality Assurance (Critical Function)
  Review copy, links, images, and compliance details before publishing
  Ensure zero errors in marketing materials
• Project & Workflow Management
  Track tasks in tools like Asana, ClickUp, or Notion
  Identify blockers and ensure deadlines are met
• AI-Assisted Work
  Use AI tools (especially Claude) for drafting, QA, and workflow efficiency

Requirements

• Experienced Executive Assistant (non-negotiable)
• Strong attention to detail (critical requirement)
• Excellent written and verbal English
• Experience with marketing tools (CRM, email marketing, landing pages)
• Strong organizational and communication skills
• Ability to work independently in a fast-paced environment
• Nice to have
  Experience with HubSpot, Salesforce, Encompass, or Blend
  Understanding of U.S. mortgage processes
  Experience using AI tools for workflows

Additional Details

• Schedule: 9 AM – 6 PM PST
• Managed via NightOwl Consulting (Philippines partner)
• $1,200 – $1,500 USD/month
• 24 PTO days + U.S. holidays
